How we use AI in Business Process Management: Practical Case Studies
In today’s dynamic business environment, organizations are facing the need not only to adapt, but to transform. New technologies, Artificial Intelligence and Flexible Workforce Solutions for Talent Acquisition and Workforce Management are no longer concepts of the future – they are already here, reshaping how companies design, manage and deliver their services.
The event “Reimagining Service Setup and Transformation – Leveraging Technology, AI and Flexible Workforce Solutions for next-level operational efficiency” brought together business leaders, technology experts and professionals from various industries. The main focus was on how Advanced Technology, AI and Innovative Workforce and Business Models can act as drivers of higher operational efficiency, more flexible processes and a more attractive business environment in Bulgaria.
As part of the panel discussion, speakers shared practical, real-world examples of how AI is already being used today, how it is embedded into business processes and what challenges organizations face during AI implementation.
Stilyana Petrova, Managing Partner Europe at Domain 6, emphasized that artificial intelligence is no longer just a technological advantage – it has become a strategic necessity. Within the organization she leads, this transformation has resulted in a comprehensive reorganization of business processes, with a strong focus on two key areas: the commercial (sales) process and project delivery.
“AI has fundamentally changed the way we work and the way we deliver our services. I can confidently say that AI is no longer just an innovation – today it is an integral part of modern business models and a strategic element for the development and future of companies,” Stilyana commented.
Optimizing the Commercial Process with AI
The company regularly implements ERP and CRM systems – complex enterprise projects that often span several months and, in some cases, more than a year. Over this period, priorities, teams and conditions frequently change, making information management particularly challenging. This is where AI plays a critical role – through automated summarization of information, extraction of key decisions and recommendations for next steps. This significantly improves the onboarding of new project members and accelerates decision-making. Another key application is the automation of proposals and contract creation. By reusing accumulated knowledge from previous clients and projects, AI saves time, reduces errors and allows teams to focus on strategic value rather than routine administrative work.
AI in Project Delivery: From Documentation to Development
The impact of AI becomes even more tangible in Project Delivery processes. During meetings, AI tools are used to extract and structure discussed information directly into predefined templates. The same approach is applied when creating documentation, test scenarios, training materials and analytical reports.
“This is not fully automated, but it allows consultants to focus to a much greater extent on activities with higher added value,” Stilyana noted.
AI is now entering even the system development phase, generating complete solutions or functional modules that, in some cases, eliminate the need for additional resources and significantly increase project efficiency. The next step is the adoption of more autonomous AI agents, which companies are already using both internally and for clients – for Data Analysis, Cash Flow Forecasting, Automatic matching of invoices and payments. The result is higher quality of service, improved customer experience and teams that can focus on what truly matters.
From AI Scenarios to Sustainable Business Solutions
From the perspective of Emil Galabov, General Manager “Technology, Media & Telecommunications” at Wiser Technology, the key shift lies not simply in using AI, but in how it is embedded into end-to-end business solutions. Until recently, AI was often applied in quick fixes for specific tasks that did not lead to long-term transformation. However, real value emerges when multiple AI scenarios are integrated into unified, sustainable platforms and business tools that support continuous improvement and scalability.
Speed as a Competitive Advantage
“Many companies are now actively developing platforms that enable the creation of complex, AI-based solutions within 6-8 weeks – a process that previously took 9-15 months. Without the support of AI, this would simply not be possible,” commented Emil Galabov.
This speed provides companies with a great competitive advantage, allowing them to respond to market changes far more rapidly and effectively.
AI “Navigators” for Business Users
One of the most illustrative examples discussed was the use of so-called AI navigators – intelligent assistants that do not replace people but support them in complex analysis and decision-making. In the telecommunications sector, such navigators are used for:
- comparative analysis of offers,
- analysis of pricing models over the past 12 months,
- optimization of significant capital expenditures for infrastructure.
In media companies, AI supports the analysis and monetization of content broadcasting rights, particularly within large groups operating across multiple local markets.
“Analyses that used to take two months can now be completed in two hours.”
Both panelists emphasized that AI implementation is not merely a technological project. It requires:
- rethinking business processes,
- readiness to change established ways of working,
- a culture of trust in technology,
- clear identification of where AI adds value and where human expertise remains irreplaceable.
AI does not replace people – it redefines their roles. From routine tasks, professionals evolve into analysts, strategists and more effective decision-makers. The practical examples shared during the panel clearly demonstrate that Artificial Intelligence is already an integral part of modern Business Process Design and Management. Companies that manage to integrate AI strategically – not as an experiment, but as a foundation of their Design & Build models – achieve higher efficiency, faster results and sustainable growth.
In a world of accelerated digital transformation, the synergy between people, technology, and flexible business models is increasingly recognized as a key success factor for organizations.
